Information about Graduation Procedures (Spring 2025)

NCKU Instructions on the Procedures for Receipt of Degree Certificates (Read it first!)

The deadline to collect the diploma for this semester is September 5th, 2025.

§ Graduate will be able to apply for English diploma after receiving Chinese diploma at the Registrar Division, and usually it will take 3 working days. Apply for it and pay via coin machine, and then submit the receipt to the Registrar Division.

Bachelor Program

Step 1: Confirm at Cheng-Kung Port that all grades are submitted to the Registrar's DivisionStudents only need to check all grades and credits  qualify you for graduation.

Step 2: Login Online Application System for the application form for graduation from NCKU

  • Read 'NOTE' and check your status first.
  • You will be able to download the form after completing Questionnaires.

Step 3: Submit the form to department office, Office of International Affairs, and the Registrar Division (with student ID card) to claim the diploma.

 

Graduate Program

Step 1: Confirm at Cheng-Kung Port that all grades are submitted to the Registrar's Division

Step 2: Login Online Application System for the application form for graduation from NCKU

  • Read 'NOTE' and check your status first.
  • You will be able to download the form after completing Questionnaires.

Step 3: Upload completed thesis and the originality report from the plagiarism detection system at the NCKU Library webpage before August 29, 2025. The library staff needs some working days to check thesis, so please DO NOT submit it late.

Procedures

 For Department

1. Application form for graduation with advisor's signature first

2. 2 copies of printed thesis

(1) Submit 1 copy to Mr. Ni at the department library (7F at Geotechnical Eng. Building '卓群大樓')
(2) Submit 1 copy and application for embargo of thesis (if needed) to the department office for the National Central Library.

§ A graduate student who needs to delay the public release of the printed thesis/dissertation to apply for a patent is required to fill out the “Application for Embargo of Thesis/Dissertation” (see attachment below) to the National Central Library. Please enclose the signed application form and the certification documents) to the thesis. 

If student doesn't attach supporting document(s), department office will return application for leaving campus.

There are no specific format or type requirements for the supporting documents.

 

  • Please attach relevant documents, based on the reasons for delay (patent application, confidential information, or other legitimate reasons), to the application forms. These documents should be evaluated and approved by the thesis/dissertation advisor(s) and department. 
  • If there are no available supporting documents for the reasons for delay, a self-written statement explaining the reasons for the delay and signed by both the student and the thesis/dissertation advisor(s) can be provided as a supporting document. Currently, there are no specific format or templates for the statement.
  • According to National Central Library(NCL)’s regulations, abovementioned application forms and supporting documents should be submitted by the university to NCL. If necessary, NCL may return the application to be handled again. If the application is returned by
    NCL, graduates should return to the university to handle subsequent procedures.

 For School

3. Submit 1 copy of printed thesis and 3 Copyright License Agreements to NCKU library

§ Three Copyright License Agreements in total: NCKU Print Thesis&Dissertation Copyright License Agreement, NCKU Thesis&Dissertation Copyright License Agreement, and Authorization for Public Access of Thesis/Dissertation (with both you and your advisor’s handwritten signature).

4. The Office of International Affairs (Division of Overseas Students and Scholars Services)

5. Bring student ID card to The Registrar Division to collect the diploma (before Sept 5th, 2025)
